Event Manager - Merging Events

From Patrick Roche- Clinical Development & Assessment Center, Mercer University School of Medicine Macon, GA

Q: I'd like to
merge two events.

We ran a CPEX (Clinical Procedure Exercise) in July (7-14-09 CPEX) and recently ran a second CPEX (10-22-09 CPEX) and I would like
to consolidate the data. I know the option to merge is available - how do I go about accomplishing this?

A: In Event Manager, select the event (7-14-09 CPEX). On the Basic Properties page, a drop-down for merging events is available. The events listed in the drop-down can be merged INTO the current event; however, before we click that 'merge' option:

1. The first question we need to ask when merging is: do both events contain the same cases?

Does the (7-14-09 CPEX) event and (10-22-09 CPEX) event have the same cases assigned to both events? Since the answer is yes, we'll move forward. [If the answer is no, add the necessary cases to the event (7-14-09 CPEX event)]

2. The second question we need to ask is about both event's users groups.

Does the (7-14-09 CPEX) event and (10-22-09 CPEX) share the same Learner/SP group?IF both events share the same learner groups then no additional work is required; however, if the Learner (or SP) group is not the same, the data will merged BUT some data will appear as if it is missing.
For example:
Event (7-14-09 CPEX)- Learner Group: C/O 2010 CPEX Learners July
Event (10-22-09 CPEX) - Learner Group: C/O 2010 CPEX Learners October
So, be sure that the Leaners in the C/O 2010 CPEX Leaners October Group are also in the C/O 2010 CPEX Learner July.

Once we've asked ourselves those two questions, we can merge the two events. Upon confirming merge of the selected event, ALL data (checklists, videos, etc.) are merged INTO the current event.
